Submitting Your Documents

How We Accept Documents

Electronic submission is preferred. You can submit documents by:

Uploading to your eSignature account (recommended)

Email

Physical mail should only be used for documents that require original or wet-ink signatures, such as the form that needs the medallion stamp itself. For everything else, we accept high-quality scanned copies or clear photographs submitted via email or uploaded to your account. If you mail documents that could have been submitted electronically, you will be responsible for return shipping costs.

Best Practices for Document Submission

Scan documents at high quality (at least 300 DPI)

Ensure all text is clearly readable

Include all pages of multi-page documents

Save files as PDFs when possible

Keep your originals safe until the transaction is complete

Please do not modify forms. If you need to make a correction, submit a new form instead (see our Form Correction Policy)

Handling Physical Stock Certificates

If you have physical stock certificates that need to be transferred or deposited:

Never send original certificates through regular mail

Use certified mail with tracking and insurance if you must send them

Consider sending copies first for review, then originals only if required

Some transfer agents now accept medallion-guaranteed copies of certificates
